PCMA is a leading association for business events and the organizer of Convening Leaders, one of the industry’s most influential annual gatherings. Convening Leaders 2026 took place in Philadelphia, bringing together senior event professionals, destinations, and supplier partners for several days of education, networking, and business development.

As part of the event, PCMA ran a Hosted Buyer Program designed to curate high-value meetings between qualified planners and supplier organizations. PCMA implemented Swapcard's Hosted Buyer & Smart Meetings for the first time, building on a long-term partnership that already supported the event app, engagement tools, and lead capture across PCMA's global portfolio.

Goals

The Hosted Buyer Program was designed to solve a familiar challenge for large association events: creating the right meetings with the right people at scale.

PCMA’s objective was to elevate meeting value and connect sellers with buyers who had active sourcing needs and meaningful purchasing authority. On average, each hosted buyer represented $3M–$5M in annual event budget, making quality and relevance critical.

Buyers wanted an efficient way to meet destinations and partners aligned with their upcoming events. Suppliers needed confidence that their investment would translate into relevant, qualified conversations.

Operationally, the program also needed to be easy to manage, without introducing a separate platform or additional complexity for staff or participants.

Solution

Swapcard was selected to support the Hosted Buyer Program because it enabled the entire workflow in one environment, from buyer selection and meeting scheduling to communication and onsite execution.

Keeping Hosted Buyer meetings inside the same platform as the one used for Convening Leaders reduced friction for participants and enabled PCMA to deliver the program within an ecosystem attendees were already using.

Key Initiatives

PCMA structured the Hosted Buyer Program to focus on qualification, flexibility, and onsite clarity.

Buyer selection and matching

Buyers applied months in advance and were evaluated using specific criteria, including involvement in meeting planning, peak room nights, total budget, and future sourcing needs. This ensured suppliers met planners with real business potential.

Tiered supplier participation

Suppliers purchased meeting packages of 5, 8, or 12 appointments, with heavier weighting during the selection phase tied to the number of meetings purchased. The selection phase remained open for roughly three weeks and achieved a 100% completion rate.

On-site execution that was built into the app

All meetings were created via Swapcard, with location and table numbers linked directly to appointments on participants’ agendas.

The program included:

  • 52 buyers and 24 suppliers
  • 244 meetings planned
  • 15-minute appointments delivered over a three-hour block

Participants received finalized schedules through Swapcard before arrival and meeting reminder notifications on-site. Staff supported navigation, answered app questions, and managed timing with a live room timer to keep meetings running smoothly.

Start with strong buyer selection criteria.

Clear application metrics made it easier to prioritize buyers with active sourcing needs. Evaluating planners based on responsibility, budget, and future business helped ensure suppliers were meeting the right people.

Offer flexible supplier packages.

Tiered appointment bundles gave suppliers control over their level of investment while helping the organizer manage demand. This structure also increased commitment, since suppliers had a clear stake in the selection process.

Keep everything in one platform.

Hosting Hosted Buyer meetings inside the main event app reduced friction and confusion. Participants did not need to manage separate tools or schedules, which supported full attendance and engagement.

Communicate clearly before arrival.

Finalized schedules were shared in advance through Swapcard, with simple guidance on where to find meetings in the agenda. This clarity reduced onsite questions and helped meetings start on time.

Design the on-site experience with structure.

Operational details matter. Table numbers tied to meetings, visible staff support, and a dedicated room timer made back-to-back appointments easy to manage for both buyers and suppliers.
